This Privacy Policy describes how Hussain Psychotherapy Professional Corporation, operating as Inaya Care ("we," "us," or "our"), collects, uses, discloses, and protects your personal information when you visit our website at inayacare.ca or contact us through any of our digital channels. We are committed to protecting your privacy and handling your information with the care and discretion it deserves.

Inaya Care is a virtual psychotherapy practice operating under Hussain Psychotherapy Professional Corporation, a Professional Corporation registered in Ontario, Canada. Our clinicians are registered with the College of Registered Psychotherapists of Ontario (CRPO) and/or the Ontario College of Social Workers and Social Service Workers (OCSWSSW).

Our Privacy Officer is Zain Hussain, who is responsible for overseeing compliance with this policy and applicable privacy legislation.

2. Legislation That Governs Us

As a regulated psychotherapy practice operating in Ontario, we are governed by the following legislation with respect to personal and personal health information:

  • The Personal Health Information Protection Act (PHIPA) — governs how we collect, use, and disclose personal health information in the course of providing psychotherapy services
  • The Personal Information Protection and Electronic Documents Act (PIPEDA) — governs the collection and use of personal information on our website and in our business operations
  • The Regulated Health Professions Act (RHPA) — governs the professional conduct of our regulated clinicians

Where there is a conflict between these laws, the more protective standard applies.

We collect two categories of information depending on how you interact with us.

a) Website and Inquiry Information

When you contact us through our website chatbot or inquiry form, we collect:

  • Full name
  • Email address
  • Phone number
  • A brief message describing what brings you to us

This information is submitted voluntarily by you and is used solely to follow up with you regarding your inquiry.

b) Automatically Collected Information

When you visit our website, certain information may be collected automatically through cookies and tracking technologies, including:

  • IP address and general geographic location

  • Pages visited and time spent on our site
  • Referring website or advertisement that brought you to our site

We currently use the Meta Pixel on our website to measure the effectiveness of our advertising and to understand how visitors interact with our site. This tool may collect anonymized behavioural data and share it with Meta Platforms Inc. You can opt out of Meta's data collection through your Facebook/Instagram account settings or by using a browser extension that blocks tracking pixels.

c) Clinical Information

If you become a client of Inaya Care, personal health information collected in the course of providing psychotherapy services — including session notes, assessments, and treatment records — is governed separately under PHIPA and our clinical documentation practices. That information is stored exclusively in our PHIPA-compliant electronic health record system and is not covered by this website privacy policy.

4. How We Use Your Information

We use the personal information you provide through our website for the following purposes:

  • To respond to your inquiry and follow up by phone, email, or text message
  • To schedule a free consultation or initial appointment
  • To send you information about our services that you have requested
  • To send periodic communications if you have subscribed to our newsletter (you may unsubscribe at any time)
  • To measure and improve the effectiveness of our website and advertising
  • To comply with our legal and regulatory obligations

We do not use your personal information for any purpose beyond what is described above without your explicit consent.

5. SMS and Text Message Communications

By submitting your phone number through our website contact form or chatbot, you consent to receiving text messages from Hussain Psychotherapy Professional Corporation for the purpose of following up on your inquiry and scheduling appointments. Message and data rates may apply. Message frequency will vary. You may opt out at any time by replying STOP to any text message you receive from us. Reply HELP for assistance.

We do not share your phone number with third parties for their own marketing purposes.

6. How We Share Your Information

We do not sell your personal information. We do not rent or trade it. We share your information only in the following limited circumstances:

  • Service providers: We use GoHighLevel (GHL) as our CRM and communication platform to store inquiry information and manage follow-up. GHL processes data on our behalf and is bound by confidentiality obligations
  • Jane App: Our electronic health record and booking system. Client information entered into Jane App is governed by Jane's own privacy practices and is stored on Canadian servers
  • Legal requirements: We may disclose your information if required to do so by law, court order, or government authority
  • With your consent: We may share your information in any other circumstance with your explicit prior consent

7. Data Retention

We retain personal information collected through our website inquiry form for a period of one (1) year from the date of your last contact with us, if you did not become a client. This allows us to respond to any follow-up inquiries you may have within a reasonable timeframe.

If you become a client, your clinical records are retained in accordance with PHIPA and our record-keeping obligations under the Regulated Health Professions Act, which require a minimum retention period of ten (10) years from the date of last service, or ten (10) years after a minor client reaches the age of eighteen.

You may request deletion of your non-clinical inquiry information at any time by contacting us using the details below.

8. How We Protect Your Information

We take the security of your personal information seriously. The measures we have in place include:

  • All data transmitted through our website is encrypted via HTTPS/TLS
  • Access to client and lead information in our CRM is restricted to authorized team members only
  • Our electronic health record system (Jane App) is PHIPA-compliant and stores data on Canadian servers
  • Clinical video sessions are conducted through PHIPA-compliant, end-to-end encrypted video platforms
  • We do not store sensitive clinical information in any non-compliant system

While we take reasonable precautions, no method of electronic transmission or storage is 100% secure. If you have concerns about transmitting sensitive information, please contact us by phone.

9. Cookies and Tracking Technologies

Our website uses cookies — small text files stored on your browser — to improve your experience and measure site performance. The types of cookies we use include:

11. Third-Party Links

Our website contains links to third-party services including Jane App (our booking platform). These third-party sites have their own privacy policies and we are not responsible for their practices. We encourage you to review the privacy policy of any third-party site you visit through a link on our website.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will update the "Last Updated" date at the top of this page.
